ATS resume formatting is mostly about removing things: columns, tables, text boxes, icons and creative headings. What remains is a plain, one-column document that parsing software reads correctly and a tired recruiter can skim in seconds. This guide gives you the exact layout, a skeleton to copy, and a ten-point checklist.

Why formatting matters at all
Before a recruiter searches or reads your application, the software parses it: it tries to pull out your name, contact details, job titles, employers, dates and skills into separate database fields. When parsing goes wrong, your resume is still in the system, but the searchable version is scrambled โ dates missing, skills lost, job titles mixed into other text.
You cannot know which system an employer uses or how good its parser is. So the strategy is defensive: format so that even a mediocre parser succeeds. Conveniently, every rule that helps a parser also helps a human reader.
Layout rules
- One column, top to bottom. Two-column designs are the classic trap: some parsers read straight across both columns and interleave them.
- No tables for layout. A neat skills grid can come out as one run-on string, or in the wrong order.
- No text boxes. Some parsers skip them entirely.
- Nothing important in the header or footer. Put your name and contact details in the body, at the top.
- No graphics, icons, photos or skill-level bars. A skill drawn as four out of five dots is, to a parser, nothing at all.
Text rules
Standard section headings
Use the names parsers are built to recognise: Summary, Work Experience (or Experience), Education, Skills, Certifications. "My Journey" and "What I Bring" are charming and unrecognisable.
Dates
Month and year, in one consistent style: March 2021 โ June 2024 or 03/2021 โ 06/2024. Years alone make tenure calculations wrong; "Spring '22" defeats date parsing.
Fonts and size
A common font โ Arial, Calibri, Georgia, Times New Roman or similar โ at 10 to 12 points for body text. Decorative fonts risk garbled characters.
Bullets
Plain round or square bullets. Arrows, check marks and emoji-style symbols can turn into junk characters.
Abbreviations
Spell out once, then abbreviate: "customer relationship management (CRM)". That way a recruiter searching either form finds you.
PDF or Word?
The honest answer: follow the employer's instruction first. If the posting asks for .docx, send .docx. Otherwise, both a Word document and a PDF exported from a word processor are normally safe with modern systems.
The one hard rule is that the file must contain real text. If you cannot click and select the words in your PDF, it is an image โ a scan or a picture export โ and to a parser it is a blank page. Name the file sensibly too: Maria-Santos-Resume.pdf, not resume_final_v7.pdf.

Put Education above Work Experience only if you are a recent graduate. Everything else stays in this order.
The two-minute copy-paste test
You can check any resume yourself. Open the file, select all, copy, and paste into a plain text editor such as Notepad or a blank email. What you see is roughly what a parser sees. If your job titles, dates and contact details appear in a sensible order, your formatting is fine. If they are scrambled, you have found the problem โ very often a paid template with hidden columns or text boxes.
What not to do
- White-text keywords. Pasting the job description in invisible text is a well-known trick, and recruiters often see resumes as plain text โ where the hidden paragraph becomes visible.
- Keyword stuffing. Repeating a phrase ten times reads as spam to the human who decides. Use the job's real vocabulary for your real experience, once or twice where it belongs. Our guide to tailoring a resume with AI shows how.

How AI can help with formatting
An AI assistant cannot see your document's visual layout from pasted text, so "is my resume ATS-friendly?" gets you a generic answer. What it does well is checking the text against rules. Try:

Frequently asked questions
Do ATS systems reject resumes automatically?
Rarely on formatting alone. Most automatic rejection comes from knockout questions in the application form. Formatting problems make you harder to find, which in a large pile has a similar effect.
Is a two-page resume OK for ATS?
Yes. Length does not affect parsing. Keep it as long as the relevant experience justifies, which for most people is one or two pages.
Are Canva or designer templates ATS-friendly?
Many are not, because they rely on columns, text boxes and graphics. Run the copy-paste test before using one.
Should I include a photo?
Not in the US, UK or Canada. Parsers ignore it, and many employers prefer not to receive one.
